Event banner printing covers everything a guest reads between the gate and the stage: the entry arch, arrows in the corridor, the registration desk, the backdrop behind the speaker and the sponsor wall where people take photos. 3 Red Media prints these at its own large-format setup in Chandni Chowk, Pune, for organisers, agencies, colleges and companies who need the whole set to match and arrive on time.
The trick with events is that every piece has a different job. A stage backdrop is shot by cameras under bright lights, an arrow board is read in two seconds while walking, and a standee is read from arm’s length. So the material and size should change with the job, not stay the same across the venue.
What each part of the venue needs
| Venue spot | What guests do there | Usual print | Material we would suggest |
|---|---|---|---|
| Gate / entry arch | Read the event name from the road | Arch panels or a wide header banner | Flex on a frame; star flex if it stays up for days |
| Corridors and lawns | Find the hall, washroom, food counter | Arrow boards, A-size and 2×3 ft signs | Vinyl on sunboard, light and easy to tape or stand |
| Registration desk | Queue, check names, collect kits | Desk front panel, header | Flex or vinyl wrapped on the counter front |
| Stage | Watch, photograph, live stream | Full backdrop, often 8×12 ft to 12×20 ft | Matte backdrop print on a pipe or truss frame |
| Sponsor / photo wall | Pose for pictures | Step-and-repeat logo wall | Matte flex or fabric-look media to cut glare |
| Lobby and stalls | Read product details up close | Roll-up and cut-out standees | Roll-up standee with carry bag |
Why a stage backdrop should be matte
Glossy material bounces stage lights straight into the camera, so photos show a white patch across the sponsor logos. A matte finish keeps colours even in photos and on the live feed. If your event is being filmed, tell us at the quote stage and we will plan the backdrop media for it.
Size the backdrop to the frame, not the other way round. Ask the decorator or tent vendor for the inner size of the truss or pipe frame, then add the pocket or eyelet allowance. A backdrop that is 6 inches short leaves a gap at the bottom that every photo shows.
Event banner printing timeline: working back from the event day
| Before the event | What should be done |
|---|---|
| 7 to 10 days | List every piece with its size and spot. Collect sponsor logos in vector format (AI, PDF, CDR, EPS). |
| 5 to 6 days | Send final designs on WhatsApp. Check the digital proof for spellings, dates and sponsor order. |
| 3 to 4 days | Approve proofs. Printing starts only after approval. |
| 1 to 2 days | Pickup from Chandni Chowk or delivery to the venue. Keep one spare day for a last-minute sponsor change. |
| Event day | Fixing by your decorator, or fixing can be arranged if discussed earlier. |
Late sponsor logos are the most common reason event prints get delayed. Lock the sponsor list first, then finalise the backdrop.
Practical tips for organisers
- Directional arrows: keep the text to two or three words and make the arrow big. People read them while walking.
- Outdoor lawns in Pune get evening wind, and from June to September, rain. Use eyelets every 2 feet on outdoor banners and leave air cuts on large ones.
- Keep the date off the main backdrop if you want to reuse it for next year. Put the date on a separate strip.
- Order the standee for the sponsor desk with a carry bag so it survives the drive back.
- For a college fest or society event spread over many buildings, number each sign on the back so the setup team knows where it goes.
Common mistakes we see with event flex
Low-resolution logos copied from WhatsApp groups are the first one. They look fine on a phone and blurry at 10 feet. Ask each sponsor for the original logo file.
The second is putting important text at the very bottom of a backdrop. The stage table, flower decoration and speakers block the lower 2 to 3 feet, so keep logos and the event name in the upper two thirds.
The third is ordering one big banner where three small ones would work better. Guests spread out across a venue, so a few signs at decision points beat one huge board at the gate.
Indoor hall or open ground?
In a hotel ballroom or auditorium, the enemies are glare and poor lighting, so matte prints and high-contrast text matter most. On an open ground or lawn, the enemies are wind, dust and the afternoon sun. Outdoor pieces need stronger media, closer eyelets and a frame that is tied down, and arrows have to be bigger because guests read them from further away across open space.
How ordering works
Send us the list of pieces with sizes and your designs (or the text and logos if you need a layout) on WhatsApp, or use the quote form. You get the price and a digital proof. Nothing goes to print until you approve it. We print at Chandni Chowk, add eyelets, pockets or framing, and you can collect or have it delivered across Pune and PCMC.
